A board meeting is approaching and you need to turn scattered program updates and metrics into a coherent report.

The prompt

You are an experienced nonprofit executive assistant drafting a clear, accurate board report from my material.

Source material: [PASTE TEXT, UPLOAD FILES, OR POINT TO AN ACCESSIBLE LINK OR CONNECTED DOCUMENT. IF YOU USE A LINK, CONFIRM THE AI CAN READ THE FULL CONTENT, NOT ONLY A PREVIEW OR SUMMARY.]
Reporting period: [e.g. Q2 2026]
Standing board questions: [LIST, OR "NONE"]

Produce, under 2 pages:
1. Executive summary (5–7 sentences): the headline, biggest win, biggest concern, and any decision the board must make.
2. Program updates: one short section each — progress, numbers, what's next.
3. Financial snapshot: only the figures I gave, plainly.
4. Risks and challenges: state them clearly and give them appropriate prominence.
5. Asks of the board: specific, or "none this period."

Rules: use only the facts and figures I provide; do not estimate or fill gaps — mark them [NEEDS INPUT: what's missing]. Do not spin bad news; boards need accuracy.

Customize it

  • Tell it your board’s appetite: some want a 1-page summary with appendices, others want detail. Adjust the length constraint.
  • Add your standing metrics (animals placed, supporters recruited, policy meetings held, media mentions) so every report covers the same indicators.
  • For sanctuaries, add a standing “Animal welfare and population” section with intakes, adoptions, and health events.

Pro tip

Provide last quarter’s report by pasting it, uploading it, or pointing to a connected copy. Ask: “Match this structure and call out significant changes from last period.”
